Privacy Policy

1. Who this policy covers

ARTEMIS HR PTE. LTD. (“Artemis HR”, “we” or “us”; EA Licence No. 23S1792) operates this website. This policy describes our handling of personal data in connection with the website, enquiries and agreed HR services. It covers business contacts, candidates, employees, independent contractors and others who communicate with us. For privacy questions or requests, email goal@artemishr.xyz with the subject “Privacy enquiry”.

Where we process employee or contractor data on a client’s instructions, the engagement must define our role and the client’s responsibilities. The employer’s or client’s own privacy notice may also apply. This policy does not replace any additional notice needed for a particular service.

2. Information we receive

• Enquiries: your name, email address, company or role, contact details and information you choose to include in a message.
• Recruitment: a CV, employment history, qualifications, role preferences and relevant correspondence, if you provide them or authorise their collection.
• Agreed services: employment, contractor onboarding, service fee, payroll, tax and work-pass information needed for the specific task, collected through an agreed process.
• Technical information: the hosting provider may process connection and security data, such as IP address, browser information and request time, when delivering the website.

Sources may include you, an authorised employer, client or representative, and referees you authorise us to contact. We will explain a new collection purpose where required. Please provide only relevant information and tell us if it is inaccurate.

3. What the enquiry tool does

Typing into the enquiry tool does not submit its contents to Artemis HR. “Open email draft” passes the draft to your email app; “Copy enquiry” copies it to your clipboard when permission is available. We receive the message only if you send it to us. Your email provider may save drafts under its own settings and policies.

The Telegram button opens our chat at @business_SGART on Telegram. It does not send your website enquiry or an automatic message. Telegram handles information within its service under its own privacy policy. We receive the messages and profile information you choose to share with us there.

Do not send identification documents, financial records, health information or access credentials in an initial enquiry. If information is needed for an agreed service, we will discuss the purpose and an appropriate way to provide it.

4. Purposes and permission

We use relevant information to respond to enquiries, assess and arrange requested services, communicate about recruitment, support agreed employment, contractor administration, service fee calculation or payroll tasks, maintain necessary business records and meet applicable legal requirements.

Collection, use and disclosure must be based on consent or another basis permitted by applicable law. Reading this policy or browsing the site is not blanket consent to unrelated processing. If a new purpose requires consent, we will explain it and seek consent before proceeding. We will not treat an enquiry as permission for unrelated marketing.

5. Who may receive information

Depending on the agreed purpose, recipients may include a prospective employer, a contractor’s client, an employer’s or client’s authorised contacts, a professional adviser, a service provider supporting our email or operations, or an authority such as MOM, IRAS or CPF Board.

Sharing must be limited to information needed for the relevant purpose and supported by the required permission or legal basis. Candidate or client information used in recruitment will be shared with appropriate written consent where required. We do not sell personal data.

Information may be processed outside Singapore by service providers or relevant recipients. Where we transfer data overseas, we must put in place the protections required by the PDPA, including a comparable standard of protection where applicable.

6. Protection and retention

We will use reasonable safeguards appropriate to the information and limit access to people who need it for their work. No transmission or storage method can be guaranteed completely secure. Suspected data incidents should be reported to goal@artemishr.xyz.

Information will be retained only while needed for the stated purpose or a relevant legal or business requirement, such as employment, tax, agency record-keeping or a dispute. When no longer needed, it will be deleted or anonymised as appropriate. A request to delete data may therefore be subject to required retention.

Data incidents will be assessed and any required notifications made to the PDPC and affected individuals in accordance with applicable law.

7. Your choices and requests

You may contact goal@artemishr.xyz to request access to your personal data, correction of an error, withdrawal of consent, or deletion where retention is no longer required. Please describe your request without sending identity documents at the outset; proportionate verification may be needed.

Requests are subject to applicable legal requirements and exceptions. If consent is withdrawn, we will explain any effect on the services requested. Withdrawal does not invalidate earlier lawful processing or prevent processing that is otherwise required or permitted by law.

You may also raise a concern with Singapore’s Personal Data Protection Commission. Contacting us does not prevent you from exercising that right.

8. Cookies and changes

The Artemis website currently has no advertising pixels, visitor analytics or optional tracking features added to its pages. Hosting and access services may have their own technical processing. Our Cookies notice explains the current setup and browser controls.

We will update this policy when the relevant practices change and provide additional notice or obtain consent where required. The date shown identifies this version.
